What DVSA looks for in QC evidence
DVSA guidance expects AEs to have a quality management system that can identify when things are going wrong and show what was done to prevent reoccurrence.
In day-to-day practice, that means your QC records should make it easy to show:
- what was checked
- what was found
- how any differences were discussed and resolved
- what action was agreed when standards needed follow-up
What a useful QC record contains
When you build QC records, aim for a record that answers these questions:
- Who carried out the QC check (competent person)?
- Which tester and which test period does this record relate to?
- What vehicle/test evidence was reviewed?
- What did you find (including any differences)?
- What follow-up action did you agree (for example: coaching/training, additional monitoring, or further review)?
Retention and retrievability
QC records are part of your station’s proof that quality is being managed.
Keep your QC records in a way that is secure and readily retrievable when DVSA asks to see evidence.
Digital records are acceptable if they can be retrieved for review.
How MOT Lens helps you keep QC records
MOT Lens helps you keep QC evidence connected to the right tester and test context (see MOT Lens Quality & QC).
FAQ
Do QC records need a specific format?
DVSA guidance does not prescribe a single record format. The key is that the record clearly shows what was checked, what was found, and what follow-up action was taken.
What should I record if there is a difference?
Record what was checked, what the differences were, and what you agreed before confirming anything on the MOT Testing Service.
Who can perform a QC check?
QC checks should be carried out by a competent person with the appropriate knowledge, skills, and experience to assess MOT testing standards.
Can QC evidence be digital?
Yes. Keep records in a way that is secure and readily retrievable for review.
What if I have limited access to a second qualified person?
DVSA guidance expects AEs to put suitable arrangements in place to assure testing quality even in those circumstances, and to keep evidence of how quality is managed.
