MOT equipment register

An equipment register for MOT testing stations — what information to keep, how to reflect calibration status, and how it links to maintenance and calibration evidence.

What is an equipment register?

An equipment register is your station’s structured list of the MOT testing equipment you rely on — and the records that make it easy to show:

  • what equipment you have
  • how it is maintained and calibrated
  • when calibration/maintenance actions are due
  • where the relevant certificates and records are kept

What to record in the register

DVSA guidance expects AEs to record information about their equipment, including:

  • equipment identifiers (so you can match the item to the right certificate/record)
  • calibration information (including what the item requires and when it needs calibrating)
  • repairs made to equipment
  • maintenance actions and how you keep equipment in good working order

Your register should make it easy to retrieve the right evidence when asked.

Linking the register to calibration evidence

Treat the register as the “index” to your calibration evidence:

  • each equipment item has a clear identifier
  • calibration certificates/records are linked back to that identifier
  • you can show the history for the current and recent calibration cycles

How MOT Lens helps

MOT Lens supports an equipment register workflow by keeping equipment items, calibration documents and status history connected (see MOT Lens Equipment).

FAQ

What is the purpose of an equipment register?

To provide a structured way to show what equipment you have, and to link maintenance/calibration evidence back to each item.

Should the register include equipment identifiers?

Yes. Identifiers help you match the correct calibration certificate and records to the correct equipment item.

Do I need to keep paper or digital records?

DVSA allows you to retain calibration records digitally or as hardcopy, as long as they are readily retrievable.

Where should I keep calibration documents?

Keep them in a way that matches your register identifiers and lets you retrieve them quickly for inspection.
