Privacy policy

This policy describes how Caledonian Tech Ltd (“we”) handles personal data when you use MOT Lens or motlens.co.uk. It is written for UK GDPR and is intended for legal review as the product grows.

What we collect

  • Demo and contact details you submit (name, work email, organisation, optional phone and message).
  • Account details for invited staff (name, email, role, organisation and site).
  • MOT operational records you import or enter (test logs, TQI, quality notes, training, equipment, bookings), which may include vehicle registrations and tester identifiers.
  • Technical logs needed to run the service (for example authentication session data).

Why we use it

To respond to demo requests, provide the MOT Lens service, keep accounts secure, and meet legal obligations. We do not sell personal data. We do not use it for automated compliance decisions about testers or stations.

Sharing

We use subprocessors required to host email, database and file storage for the product. Customer MOT records stay in the customer’s MOT Lens organisation and are not used as public marketing content.

Retention

Demo requests are kept as long as needed to handle the enquiry. Customer operational data is retained for the life of the account and deleted or returned according to the contract when an organisation is closed.

Your rights

You can ask for access, correction, deletion or restriction where UK GDPR applies. Contact contact@motlens.co.uk. You may also complain to the ICO.
